The Structure of a Good Offer

Gains:

  • Can list standard sections of the technical proposal
  • Knows which question each section answers
  • Can make the offer comparable

A technical proposal is as much an engineering commitment as it is a sales document. A well-written proposal makes it easy for the customer to compare — and being comparable often saves time.

Standard sections

  1. Scope summary: what is being delivered and what is not.
  2. Process description and flow chart: how the plant will operate.
  3. Machine list: quantity, model, capacity, power.
  4. Capacity and quality commitment: which wheat, which yield and flour type.
  5. Site plan: building dimensions and floor heights.
  6. Electrical and automation scope.
  7. Delivery time and work schedule.
  8. Price, payment terms, warranty.
  9. Excluded items and customer responsibilities.

Commitment language

Expressions such as "about", "around", "targeted" are not commitments and the customer knows this. The value to be committed is written net, the assumption condition for the value not to be stated is stated: "76% efficiency when the specified wheat analysis is achieved."

On the first page of the quote, answer the customer's question: how many tons, what flour, how much, when. Let the details be in the background; The decision is made in these four lines.
